Odoo’s Sales module allows businesses to create reusable quotation templates for commonly sold products or services, making the process of generating and sending quotations faster and more efficient. These templates eliminate the need to create new quotations from scratch for every sales negotiation, ensuring a streamlined workflow.
To enable quotation templates, navigate to the Sales module and open the Configuration menu, then select Settings. Under the Quotations/Orders section, activate the Quotation Templates option by ticking the checkbox. This will reveal a Default Template field, where a default quotation template can be selected from the drop-down menu. Once this feature is activated, an internal link labeled Quotation Templates will appear below the Default Template field. Clicking this link will direct you to the Quotation Templates page, where you can create, view, and edit templates as needed. After completing the configuration, it is essential to save the changes by clicking the Save button.
To create a new quotation template in Odoo’s Sales module, begin by clicking the New button in the upper-left corner of the Quotation Templates page. This action will open a blank quotation template form that can be fully customized to suit your business needs.
Start by entering a suitable name in the Quotation Template field. Next, use the Quotation Validity field to define how many days the quotation will remain valid. If you leave this field at its default value of 0, the template will remain valid indefinitely.
In the Confirmation Mail field, select a preconfigured email template from the dropdown menu to automatically send to customers upon confirmation of an order. For those working in a multi-company environment, use the Company field to specify the company for which this template applies. If an Invoicing Journal is defined, sales orders linked to this template will be invoiced in the specified journal. If left blank, the default sales journal with the lowest sequence will be used automatically.
If your system has the Online Signature or Online Payment features enabled, these options will appear on the quotation template form. Checking the box for Online Signature will request an online signature from the customer to confirm their order. Similarly, enabling Online Payment allows customers to confirm their orders through payment. If Online Payment is activated, a percentage field will appear where you can specify a portion of the payment to be collected online. Both Online Signature and Online Payment options can be enabled simultaneously, requiring customers to complete both actions to confirm an order.
In the Lines tab of a quotation template in Odoo’s Sales module, users can efficiently structure and customize templates by adding products, organizing them with sections, and including additional notes for clarity. To add products, click the Add a product button, which will open a blank field in the Product column. Selecting this field reveals a dropdown menu with existing products from the database. Simply choose the desired product from the list, or type the product's name to search for it. For better organization, sections can be added to group related products or items. Click Add a section, and a blank field will appear where you can type the section name. Once entered, clicking away secures the section name. These sections can also be rearranged by dragging and dropping them using the six-squares icon.
To provide additional information, such as warranty details or specific terms, you can use the Add a note option.
In the Optional Goods tab of Odoo 18's Sales module, you can specify additional products or services that can be offered alongside the primary items in a quotation. This feature allows you to present optional goods to customers, giving them the flexibility to select additional items according to their preferences.
Additionally, you can define the default Terms & Conditions for the quotation, ensuring clear communication about the terms of the transaction.
In the Quote Builder tab of Odoo 18's Sales module, you can enhance the appearance and structure of your quotations by incorporating header pages and footer pages. These elements allow you to compose a professional and visually appealing quotation with additional details about your company, products, and services.
When creating a quotation PDF, Odoo automatically compiles the document by combining the header pages, product descriptions, the details of the quote, and the footer pages. If no specific headers or footers are provided in the Quote Builder tab, Odoo will default to the settings defined in the company configuration.
This feature ensures that your quotations maintain a consistent, professional design while providing ample flexibility to include custom content tailored to your business needs. Once your quotation template is designed and finalized, it becomes available for use in creating new quotes, streamlining the process and ensuring consistency in presentation.
