The PDF Quote Builder in Odoo Sales offers businesses the opportunity to send customers a highly personalized and professional quote in PDF format. The PDF Quote Builder allows companies to create visually appealing and informative quotes that showcase not only the product prices but also various details about the company, products, and services.
This tool organizes the quote into distinct sections, including header pages, product descriptions, pricing details, and footer pages, which come together to form a comprehensive and professional document. Moreover, businesses can inject dynamic texts or custom notes, further personalizing the quote for each customer. The customization options in the PDF Quote Builder enhance the customer's experience by providing a clear and polished view of the offer.
To add custom PDF files for quotes, the PDF Quote Builder feature must first be configured. To do this, navigate to the Sales module, then go to Configuration and select Settings. On the Settings page, scroll down to the Quotations & Orders section, where you'll find the PDF Quote Builder feature. Once located, enable it to begin customizing your quotes with personalized PDF files.
In Odoo Sales, you can easily add custom PDFs to be used as headers or footers in your quotes. Once the PDF Quote Builder is activated in a quotation, you can select multiple headers and footers to be included in the final PDF.
To add a custom PDF as a header or footer, start by navigating to the Configuration and select Headers/Footers. From this page, you can either click New or Upload to add your document.
Clicking Upload allows you to instantly upload the desired document.
After uploading, you can configure the document on the document card by clicking the three dots icon in the top right corner and selecting Edit.
If you click New, a blank document form will appear where you can upload the PDF by clicking the Upload your file button in the File Content field.
Once the document is uploaded, you can modify various settings related to it. The first field, "Name," is auto-populated with the name of the PDF, which can then be edited. In the Document Type field, select either Header or Footer to specify where the PDF will appear in your quote. Additionally, in the Quotation Templates section, you can restrict the PDF to specific quotation templates only. Mention the Company in the given space. Lastly, besides the File Content field, you have the option to configure dynamic fields.

In Odoo Sales, you can also add a custom PDF to a product form. When a PDF is attached to a product and that product is included in a quotation, the PDF will automatically be incorporated into the final PDF of the quotation.
To add a custom PDF to a product, begin by navigating to the Sales module, then go to Products under the Products section. Select the desired product to which you want to add the custom PDF.
On the product page in Odoo Sales, click the Documents smart button located at the top of the page. This action opens a dedicated Documents page for that product, where you can upload and manage files related to it. From this page, you can either click New or Upload to add a file.
By clicking Upload, you can instantly upload the desired document. Once uploaded, the document can be further configured directly on its document card or by clicking the three dots icon in the top right corner of the card and selecting Edit.
Alternatively, clicking New opens a blank document form.
Here, you can upload your file via the Upload your file button, located within the File Content field. After uploading the PDF, various details and configurations related to the document can be adjusted.
The Name field for the document is initially grayed out (non-editable) until a file is uploaded. Once the PDF is uploaded, the field auto-populates with the file name, which can then be edited as needed. Additionally, before uploading, you can specify whether the document is a File or a URL using the Type drop-down menu.
In the Sales section, the Visible at field lets you control when the document is sent to customers. The available options are:
● Quotation: The document is sent to or accessible by customers at any time.
● Confirmed order: The document is sent to customers only after the order is confirmed, making it ideal for supplemental materials like user manuals.
● Inside quote: The document is included within the PDF of the quotation, positioned between the header pages and the Pricing section.
Lastly, in the E-Commerce section, you can decide whether or not to display the document on the product page in the online store by selecting or deselecting the Show on product page option.
On a Sales Order, within the Quote Builder tab, you can select any document to be merged into the final PDF. If the selected document contains custom fields, you can enter notes directly to populate these fields within the PDF.
You have the flexibility to add multiple headers, product documents, and footers to tailor the quote according to your customer’s specific requirements. This ensures a highly customized and professional presentation.
Once a quote with a pre-configured PDF is confirmed, Odoo allows you to print the finalized quote. This feature is useful for checking errors or keeping records. To print the PDF quote, navigate to the confirmed quote and click the ⚙️ (gear) icon to open the drop-down menu. From there, select Print and then choose PDF Quote. This action immediately downloads the PDF quote.
When you open the downloaded file, you’ll see the complete PDF quote, including the product documents configured to appear inside the quote. The finalized PDF can then be viewed, shared, or printed as needed.
