Configuration

During the process of time off requests, it is essential to provide the Type of Time Off. The process is very much easy for the process below the configuration tab, as shown in the image below.

Here, you are able to see the already created Types of Time Off with the Display Name and the approval status. The page can be visible in Kanban view as well. For making a new Time Off Type, go to the Create button. On selecting the option, you will get a window, as shown below.

Give a name for the Time Off type. In the Approval option, mention who is allotted the permit for the leave request. There can be No Validation, if validation is not needed, By Time Off Officer, By Employee’s Approver, or By Employee’s Approver and Time Off Office, respectively. You can also make a double approval permit. Under the Allocation Request Tab, you can determine whether the allocation is required or not. On the request time, it can be set as No limits so that it is free for requesting the time off. The Employee requests can be set as Extra Days Request Allowed or as Not Allowed.

In the Responsible Time Off Officer, you can provide the officer’s name who approves the allocation and requests for time off. The Take Time Off Type can be set as full day or half day. The default of the time off type is according to the order of time of type provided in the configuration.

You can trigger the Deduct Extra Hours Field for getting extra hours taken from when the Time Off of this type is accepted. Similarly, on triggering the Allow To Join Supporting Document option, you can include this time in the supporting documentation as well. In the Kind of Time Off option, you can mention it as Absence or Working time, and the company name can also be provided in the allotted space. Under the Payroll Tab, you can provide the Work Entry Type.

Under the Timesheet Tab, you can select the type of project from the given types. And the Task can be set as time off, meeting, or training. Now, below the Display option, you can go for a particular color and cover image from the provided list. Finally, go for the Save button.

Another option in the Configuration Menu is Accrual Plans, as shown in the screenshot below.

There are mainly two kinds of allocations, such as Regular and Accrual. In the regular allocation, employees are provided with a fixed number of leaves. But in the case of accrual, you will get the requested number of leave allocated according to a particular criterion. We are allied to set a particular rule for the automation of leave allocation.

As in the image above, you will get the already configured list of accrual plans. Here, the details, such as Plan Name, Levels, Time Off Type, and Employees, will be provided. On selecting the Create icon, we can easily make a new accrual plan.

A particular name can be given to the accrual plan on the allotted space. Go for a suitable type of Time Off from the given option. Below the Rules Tab, you are able to create new rules with the help of ADD A NEW LEVEL option. Then, a pop-up window will appear.

Here, as you can see, you have a space for the Start After field to provide the number of days, months, or years after the accrual is made use of. The accrual will begin from the time after the employee’s beginning date. You can trigger the Based on Work Time option, and thereby, it will accrue for the worked time. And this is the period when employees did not have time off.

In the provided space, give the Rate and Frequency as well. Rate means the total number of hours or days which will be incremented in the particular time off type for each period. The Limit to option helps to select a gap for the accrual. Here you can control the unused accruals. At the end of the year, the unused accruals can be transferred to the next year or otherwise set as lost. You can mention the maximum amount of accruals to transfer in the allotted space as well. Finally, go for the Save and Close icon. By clicking on the Save and New icon, you can make a new level.

Configuration menu has another option for Public Holidays. All the records of the public holidays will be visible here. You are allowed to make a new record of public holidays.

As you can see, the page includes the details, such as the Name of the holiday, Company name, Starting Date, Ending Date, Working hours, and Work Entry Type, respectively. For creating a similar type, go for the Create icon.

Here, you can add a new name of the holiday, Company, Start and End Date, Working Hours, and Work Entry Type. Similarly, you can make records of all the public holidays in the present year. And here, the public day off, if created on the same day, will be canceled and returned back.

In the configuration menu, you have an option of Stress Day, under which you can include the stress days when the employees are not allowed to request leave. On selecting the create button, you can easily create a new one.

Under the Configuration menu, you will get the Activity Types option for creating different activity types, which can be made used for managing employee time off. On selecting the option, you can see the list of already configured activity types.

The option will assist you in regulating all the activity types. Here, you will get information like Name, Default Summary, Planned In, Type, Model, and Icon, respectively. For creating a new activity type, you can go for the Create icon.

In the given window, you have to name the activity type. Then under the activity settings, pick any action from the given drop-down menu, which includes options like None, Upload Document, Phone Call, Meeting, and Reminder. Then select any Model in the provided space. Then under the Default Summary and Icon option, give the details accordingly. You can mention a particular Decoration Type as well. In the Default note, a short note about the activity can be given. Now, under the Next Activity Tab, you can give the Chaining Type as Suggest Next Activity, or Trigger Next Activity. Fill in the Suggest field and the Email template on which you can mention the number of days or weeks, or months before deciding the action. Finally, go for the Save button.
