Notes

In a business, you will have lots of meetings, activities, appointments, and dates that should be remembered. Based on different schedules, such information may be forgotten for sure. So for the effective and easy running of the company, you should manage all these activities in a well-organized manner. For this purpose, Odoo ERP Software provides its user’s with the Notes Module. This Module assists you by keeping all this information based on different activities that you have to complete. In order to keep the important dates and works that have to be completed can be noted in this notes module very easily. And doing so will be a great help for future functions.

Using this notes module, you can easily schedule the projects in a targeted manner. Here, the difficult tasks will be completed at the beginning and thereby can make you feel liberated. This way, you can feel more comfortable for the rest of the day. It is very easy to keep all future activities, data, plans, meetings, appointments, and even newly created ideas can be saved on this notes module. Through the process, Odoo Software helps users to minimize the usage of paper. Without any complications, you can connect this module with other modules as well. Here, let us look at the various features and functions available in this notes module.

On selecting the Notes Module from the Odoo ERP, you will be directed to a page where already configured. Notes can be seen in the form of Kanban View, as shown below. In this view, you will get a highly visualized form of activities. These works can be classified based on when to be done. That is, daily, monthly, or later. Here you can also understand which activity requires more people as well.

On this page, you are provided with some default Filters that are customizable and Group By option for categorizing the notes, respectively. You can keep those notes under Favorites for getting notes very quickly if required. Using the Create button, you can make your own notes, as shown in the image above. There is a search bar, too, for searching out the data depending on the contents of the notes. On this main page, you can see various fields related to the notes, like New, Meeting Minutes, Notes, and personal To-do list, respectively.

You have an option of Stage, where you can add new stages for the respective notes. Using the + icon, you can easily add new stages that help to add new notes for particular categories as well.

Using the + icon, you will be provided with a new field below the particular category that we had selected in order to add the title of the note. With the help of the Add button, you can easily save the newly created notes and can add them to the already existing list of notes. By clicking on the Edit button, you can make necessary changes to the notes, as shown below.

When you select one of the notes from the main page, you can make corrections in each of the notes if required. For adding new tags to the notes, you can go for the Tags option.

Using the three dots provided in the top right corner of the notes, you can easily highlight the notes if required to easily recognize each note as per its importance.

Now, other than this Kanban view, you can have these notes in the form of a List view, as shown below.

In this window, you are given the details of the notes, such as Note Summary, Active Status, Stages, their Tags, and finally, Next Activity column, respectively. Using the CREATE button, you can even create a new note to this list.

In this Notes Module, you can easily plan various activities from the main window itself. You can plan different programs, such as calls, emails, appointments, To-do, and many other fields. This feature can be taken from the clock icon provided in the top right corner of the page, as shown below.

On selecting the clock icon, you are directed to the page above shown, where there is an option to Schedule activity as marked in the above image. On the page, you have various activities like Emails, Calls, Meetings, to-do, Reminders, and Upload Documents. On selecting the Schedule activity option, you can create a new activity.

In order to schedule new activity, select a note from the pop-up window. Otherwise, you can go for the Create button to create a new one, as in the screenshot below.

If you are creating a new program by selecting a note in the pop-up window, then a new page will be opened.

On this page, you can select a particular Activity Type from the options provided. The Summary can be included about the notes, Due Date, and to whom the note is Assigned can also be provided. A description of the activity can also be given in the provided space.on finishing all those processes, go for the Schedule button in order to schedule the newly created activity.

If you have to schedule a meeting, then go for the meeting option in the Activity Type, where an extra option of Open Calendar will be displayed, as shown below.

Here, go for the Open Calendar option, on which you will get the calendar view of all the scheduled meetings and activities on each date on which it is assigned. Here if needed, you can control the attendees for a particular meeting using this calendar view.

If you need to schedule a meeting, then go for the Add button provided in the leftmost corner of the page. On selecting the Add option, you will be directed to a page where you have to provide some details, such as in the Meeting Details Tab, give the date on which it is Starting at and Ending at, the time required for the meeting in the Duration field, Organizer of the meeting, Description about the meeting, Reminders, place form where the meeting is going to be held in the Location field, a Meeting URL that can be conducted on the video call basis, and the Tags related to the meeting. And if the meeting is to be held every day, then activate the All Day option as well.

Below the Options tab, you have the Recurrent option to activate and keep the meeting as public, private, or Only Internal Users in the Privacy option. And in the Show as space, you can maintain it as Busy or Available as per your need.

In the Invitation Tab, you can send invitations to the respective attendees. In the given space, you can give the name of the attendee, Email, Phone, and Status of the meeting, respectively. You can also send Emails or SMS to the attendees using the provided icons in the window.

You can even see the page in the List view too, where in the window, you have the Subject of the Meeting, Start Date and End Date, Attendees in the meeting, Location of the meeting, and Duration, respectively.

By selecting the CREATE button, you can add a new meeting to this scheduled meeting list.

This is all about the Notes Module in Odoo ERP Software. The Module is easier and more user-friendly than other modules. And this Module will help you in keeping all your notes in a very safe and well-structured manner.
